Search this and the results are wall to wall Microsoft: the official blog, the partner round ups, the feature announcements, all telling you what Copilot can now do this month. What none of them answer cleanly is the question every UK business actually has before it spends anything.

Is it free or paid, what does the paid version cost, and where does it stop being enough? The features are real and genuinely useful, but a feature list is not a decision.

This guide covers what the AI in Microsoft 365 does, the licensing split that catches people out, and the honest limit of the built in tools, so you can decide what to turn on before you decide what to buy.

AI for Microsoft 365 means Copilot: Microsoft’s AI assistant, embedded across the apps your team already uses every day, from Outlook and Teams to Word, Excel and PowerPoint. It reads, drafts, summarises, and increasingly acts on your behalf inside those apps.

The important thing to understand up front is that it comes in tiers, not as one switch, and the difference between the free tier and the paid one is the difference between a general assistant and one that actually knows your business.

What is Microsoft 365 AI?

Microsoft 365 AI is Copilot in its various forms, and it sits at three levels worth separating clearly. The first is Copilot Chat, a web grounded assistant included at no extra cost with eligible Microsoft 365 plans.

It answers general questions and drafts text, but on its own it does not see your internal emails, files, or meetings unless you paste them in.

The second is the paid Microsoft 365 Copilot add on, which embeds Copilot inside the apps and, crucially, grounds it in your own work data through Microsoft Graph, so it can draw on the documents, mail, and chats you already have permission to see.

The third is extended automation, where Power Automate or a bespoke build carries Copilot’s usefulness beyond the boundary of Microsoft’s own apps.

That middle distinction is the one that matters most commercially. A free assistant that cannot see your work can help you write; a paid assistant that can see your work can help you with your work.

Knowing which of those you are evaluating is the difference between being pleasantly surprised and being disappointed after the budget is spent.

How Microsoft 365 AI works

Underneath, Copilot follows a consistent shape.

When you ask it something inside an app, it retrieves the relevant context, whether that is the thread you are reading, the document you are in, or, on the paid tier, the wider set of files and mail you are allowed to access through Microsoft Graph.

It passes that context to a large language model, and returns a draft, a summary, or an action for you to approve.

The model doing the reasoning is not fixed forever; Microsoft updates the underlying model over time, which is a good reason to think about what the features do for you rather than which model powers them this quarter, since the durable value is in the capability, not the engine.

The permission point inside that mechanism is the reassuring part for a cautious business. On the paid tier Copilot only ever surfaces content the individual user already has rights to open, so it inherits your existing access controls rather than bypassing them.

That is why the state of your permissions and your file organisation matters: Copilot is only as tidy and as safe as the environment you point it at.

What Copilot does in each app

The features are easiest to hold app by app. In Outlook, Copilot summarises long threads, drafts and rewrites replies, and increasingly handles scheduling steps on your behalf, and a baseline of this sits on the standard plan rather than behind the paid add on.

In Teams, it recaps a meeting you missed without needing you to read a transcript and pulls the decisions and action points out of the discussion. In Word, it drafts, rewrites, and restructures documents, and can generate a first draft from a prompt or an existing file.

In Excel, it suggests formulas, spots trends, and builds charts from a plain language request, which lowers the barrier for people who are not spreadsheet fluent. In PowerPoint, it turns a document into a first draft deck.

Across all of them the pattern is the same: Copilot produces a draft or a summary, and a person edits and approves. It is an assistant that removes the blank page, not a replacement for the judgement about what belongs on it.

The licensing reality UK businesses need

Here is the part the feature posts underplay. The full Copilot experience inside Word, Excel, PowerPoint and the other core apps requires a paid Microsoft 365 Copilot licence on top of your existing subscription, priced per user per month.

Copilot Chat, the web grounded assistant, is included with eligible plans at no extra cost, and a baseline of Outlook’s AI assistance sits on the standard plan.

The trap is assuming that because you pay for Microsoft 365 you already have the AI everyone is talking about; in most cases the headline features that read across your own data are the paid ones.

Microsoft’s own comparison of the free and paid Copilot is the plainest reference for exactly where that line falls, and it is worth reading before you budget, because the per user pricing means the bill scales with headcount whether or not every user needs the feature.

The practical consequence is that Copilot is not an all or nothing purchase.

You can licence the paid add on for the roles that will genuinely use it and leave the rest on Copilot Chat, which is often the sensible first shape rather than rolling it out to everyone at once and paying for seats that sit idle.

Microsoft 365 AI use cases

The uses that pay off are the high frequency, low judgement ones. Clearing an Outlook backlog by summarising long threads and drafting routine replies for a quick check. Catching up on a missed Teams meeting through an AI recap instead of chasing a colleague.

Turning a dense report into a first draft slide deck, or a rough set of notes into a structured document. Getting a formula or a chart out of Excel by describing what you want rather than remembering the syntax.

Each of these removes a small, repeated friction that adds up across a team over a week.

To make it concrete, picture a UK operations manager who starts each morning behind on Outlook and Teams.

Copilot summarises the overnight threads, flags the two that genuinely need a decision, drafts holding replies to the routine ones, and recaps the meeting she missed while she was on a call, all before she has opened a single document.

The time saved is not dramatic on any single item; it is the cumulative half hour of triage she gets back every day. That is the realistic shape of Copilot value, and it is why the sensible place to start is the apps she lives in.

Where Copilot stops, and what lies beyond it

Being straight about the ceiling is what a Microsoft authored guide cannot do. Copilot is powerful inside the Microsoft ecosystem, but it does not orchestrate a workflow that reaches outside it.

It will not read an enquiry, create a record in your separate CRM, update your accounts system, and email a customer in one reliable pass, because that spans systems Copilot does not own. For simple triggers between apps, Power Automate covers some of the gap.

There is also a data handling point UK businesses should weigh.

Microsoft processes Copilot data within its compliance boundaries and, for correctly configured tenants, within EU and UK data centres, but the configuration is yours to get right, and because these tools touch mail and documents containing personal data, the arrangement has data protection implications worth checking before a wide rollout rather than after.

How to roll out AI across Microsoft 365

Start where the daily use is, not where the marketing is loudest.

For most UK businesses the highest return comes from enabling Copilot in Outlook and Teams first: those are the apps people live in, the assistance there compounds fastest, and part of it sits on the baseline licence, so you can prove the value before committing to the paid add on across Word and Excel.

Turn it on for a small group, watch what they actually use, and licence outward from evidence rather than enthusiasm.

Then, once you hit the ceiling, be honest that you have hit it. When the workflow you want reaches beyond Microsoft’s apps into your CRM, your accounts package, or an external system, that is the signal to look at integration rather than more Copilot seats.
